Gatherings

For hybrid programs, tutoring centers and microschools

Run your program, not a pile of spreadsheets.

Campus brings tuition, ESA paperwork, enrollment, staff, check-in and your website together with the family planner your parents already use.

$3 per family a month, billed yearly. Payments go to your own Stripe account, and Gatherings takes no cut.

Tuition

Bills that build themselves.

Set a price on each class once. Every month, each family's bill is made from their students' enrollments, and waitlisted students aren't billed until they get a spot.

  • Price each class by the month or by the term, and split term prices into monthly payments
  • Bills build themselves from each family's enrollments on your billing day, and families get an email
  • A registration fee per student, a sibling discount, and an optional semester commitment
  • Families pay by card, or save a card for autopay on each due date
  • Record ESA, check and cash payments, with a note like the ClassWallet order
  • See who owes, and how late: not yet due, 1–30, 31–60 and over 60 days

ESA families

ESA paperwork, done for your families.

Every bill is an invoice until it's paid and a receipt after, laid out the way ESA programs ask: your program's legal name, address and tax ID, each student's classes and dates of service, and the totals.

  • A receipt for each student, as a PDF to upload to their ESA platform
  • On a paid bill, parents tap once to add it to their ESA records, with the receipt attached
  • Record payments made with ESA funds, so families never look overdue while they wait
  • Show which ESA platforms you accept on your website and invoices

Everything else a program runs on.

  • A website for your program

Home, About, your class catalog, staff, public events, FAQ and a contact form, kept current from your classes. Use your own domain.

  • Classes and enrollment

A printable catalog, an enrollment season with early enrollment for returning families, age ranges, prerequisites and waitlists.

  • Forms and waivers

Registration questions and signed waivers, per family or per student, required before enrolling if you like. Families keep emergency contacts and allergies up to date.

  • Staff and fingerprint cards

Invite teachers and office staff without a family account. Track each adult's fingerprint clearance card or background check, with reminders before it expires.

  • Drop-off and pick-up

Staff check students in and out by name. Allergies show in red, pick-up is chosen from the family's approved list, and parents hear who picked up.

  • Grades and report cards

Teachers share grades and comments. A printable report card per student each term, which parents can add to their transcript in one tap.

  • Volunteer hours

Hours each family owes per term, duty turns counted for you, hours approved by staff, and an optional buy-out on the tuition bill.

  • A program store

T-shirts, yearbooks and supply kits with sizes and stock. Families pay by card or in person, and office staff track orders.

  • The treasurer's books

Tuition, fees and store sales in, expenses out, by month or year, with a CSV your bookkeeper can bring into QuickBooks.

Roles

Everyone sees their part.

Each person's tabs fit their role, and the program's page opens with what they do there today: the office sees who's checked in and open bills, teachers their classes, parents the day's classes and anything due.

Administrators
Run the program: classes, families, staff, tuition, forms, the website, the books and settings.
Office staff
Every class list and attendance, enrollments, check-in, forms' answers, bills and payments, without changing settings or prices.
Teachers
Their own classes: class lists with allergies, attendance, assignments, grades and comments, and check-in.
Parents
Their bills, forms, enrollments, report cards and pick-up list, and everything in Gatherings for their family.
Students
Their day's classes and assignments, which land in the family's planner, plus the group's Feed and calendar.

Switching

Move in from Homeschool-Life.

Bring your classes and families over in two steps. Nothing is added to a family without a parent saying yes.

  1. Export from Homeschool-Life

Download your class list and your roster as CSV files. Wild Apricot, Membership Toolkit or a spreadsheet work the same way.

  2. Bring in your classes

Paste or upload the class list. Teachers, times, rooms, spots, ages, tuition and supplies come across, and it's safe to run again.

  3. Invite your families

Each family gets a personal invite. When they join, their students' classes are waiting for a parent to confirm with one tap.

See the step-by-step guide. Your events come across with an iCal import, and your families get a moving guide to tell them what's changing.

Every family gets Hearth

Campus includes everything in Group Hearth, so each of your families has Hearth at no cost to them: ESA fund tracking, calendar sync, the wall display, catch-up, relatives and texts.

Classes in the family planner

Your assignments land in each enrolled student's planner next to their lessons at home, and the hours count in the family's records.

$3 per family a month.

Billed yearly, and it follows your active families. A program of 60 families: $2,160 a year. Already on Group Hearth? Switch and pay only the difference for the rest of the year.
